Booking information

Scheduling
Exhibitions are available during the tour dates specified. Booking is on a first come, first served basis, pending approval of an institution’s facility report. When dates are agreed on, iCI will send a booking contract to confirm all arrangements.

Participation Fee
The participation fee covers the specified viewing period, with adequate additional time for installation and dismantling. For bookings longer than the specified period, the fee is pro-rated on a weekly basis; there is no fee reduction for shorter booking periods. A deposit of 30% of the exhibition fee is due when the institution signs a booking contract; the balance is due on the exhibition’s opening day.

Discount Policy
Institutions that have presented iCI exhibitions in the past are eligible for discounts on future bookings: a 5% discount on their third through fifth shows; a 6% discount on their sixth show; a 7% discount on their seventh show; an 8% discount on their eighth show; a 9% discount on their ninth show; and a 10% discount for the tenth and any subsequent bookings.

Space Requirements
Since the exhibitions are often announced as far as two years in advance, actual space requirements may vary from those announced here.

Registration/Insurance/Shipping
Each artwork comes with installation and handling instructions and a condition report. All participating institutions are required to annotate the condition reports upon installation and deinstallation. Exhibitions are covered by iCI’s wall-to-wall fine arts insurance policy. Shipping arrangements are made by iCI; the participating institution is responsible for incoming shipping charges. Institutions outside the continental United States must also pay customs fees as well as outgoing shipping charges to the U.S. border.

Security
Security requirements include a single-use locked space, guard(s) in the exhibition gallery while the exhibition is open to the public, and electronic security and fire-alarm systems in operation 24 hours a day.

Catalogues and Educational Materials
An illustrated catalogue or brochure accompanies each exhibition. A limited number of complimentary catalogues is provided to each participating institution for staff use. Additional catalogues for resale are purchased from iCI. Each exhibition is also accompanied by an introductory wall text and object label text, as well as a packet of varied educational materials to assist in developing educational programs.

Publicity and Credit
A press packet including a sample press release and press photographs is sent to each participating institution prior to the opening. Institutions are required to use the credit line and logo provided by iCI at the entrance to the exhibition and on all public announcements, press releases, invitations, posters, signs, and other promotional material.
